Ecclesial Plan Coordinators please commence entering your planning data, particularly the first 3 steps a month beforehand.

The following initial steps are required so that the availability of all Speakers is known to everyone for the best planning outcome for all.

1. Your “Speaker Availability” (Limits) – number zero means the Speaker is not available for the planning period.

3. Dates for Ecclesial Activities (Setting Up) Add or adjust your ecclesial dates. These dates can be used to remind you that your Speakers are unavailable on these dates. 

As usual please encourage new Speakers to be added to the plan as well as encourage existing Speakers to maintain or perhaps slightly increase the number of their available appointments, if they are able. This would help address shortfalls that particularly impact on smaller ecclesias.

The next Ecclesia, in order, to make the first selection is Sutherland.

After a couple of weeks complete the following steps are:

1. “Incoming Speakers” (Incoming) For Speaker proposals select 2 to 3 times more than your total number requested at Step 6.
2. “Setting Dates for Incoming Speakers” (Incoming) Mandatory - prioritise/randomise (i.e. not sequential) dates for incoming Speaker proposals and set as many dates as you can.
3. “Set No. Incoming Appoints Requested” (Incoming) – the maximum number of incoming Speakers to visit; zero means no incoming appointments are required.
4. Speaker Dates (Outgoing) – if no Speaker Dates are ticked as unavailable, then all the dates for the Speaker in the planning period, are available for appointments.
